2. Data processed

Depending on how you use the app, we process:

  • Account data: name, email address, role, password (stored encrypted).
  • File data: property addresses, inspection report content, photos, videos, voice dictation recordings, meter readings, keys, signatures, and the contact details of the parties (tenants, owners, occupants).
  • Technical data: device identifiers for notifications, connection logs, diagnostic data.

3. Purposes and legal bases

Your data is processed in order to:

  • Provide and operate the service (performance of the contract).
  • Keep signed inspection reports for the legal retention period (legal obligation).
  • Ensure security and prevent abuse (legitimate interest).
  • Send you notifications (consent, revocable at any time).

4. Recipients and processors

The data is processed by providers acting on our behalf: a hosting provider, a file storage provider, an email delivery provider, a notifications provider, and a content-analysis provider that helps structure the inspection reports. Each is bound by a processing agreement and uses your data solely to provide the service.

5. Transfers outside the European Union

Some providers are located outside the European Union. These transfers are framed by the appropriate safeguards provided for by the GDPR (adequacy decision or standard contractual clauses).

6. Retention period

Inspection reports and their annexes are kept for the applicable legal period (up to 10 years). Account data is kept for as long as the account is active, then deleted or anonymized subject to legal obligations.

7. Your rights

You have the right of access, rectification, erasure, restriction, objection and portability. The app lets you export your data directly. To exercise your rights: contact@immostate.be.

You may also lodge a complaint with the Belgian Data Protection Authority (Rue de la Presse 35, 1000 Brussels, autoriteprotectiondonnees.be).

8. Security

We implement technical and organizational measures to protect your data, including the encryption of exchanges (TLS) and strict access control.

9. Cookies

The immostate.be website uses only the cookies necessary for it to work. The mobile app does not use advertising cookies: it stores locally the information essential to your session.

10. Changes

This policy may be updated. The date of the last update appears at the top of the document.
