Product & usage
ImmoState is a tool built for real-estate professionals in Belgium who carry out property inspections. You dictate your findings on site and the report writes itself, ready to be signed.
No, from your dictation, the report is written automatically, detailed and structured. You stay in control to review and adjust before signing.
Yes, a connection is only needed to load the case before you leave. After that your dictations, photos and readings are saved locally, with no network, then synced automatically as soon as the connection is back.
Take your photos while dictating: they attach automatically to the room and the current finding, with no manual sorting afterwards.
Yes, you record the electricity, gas, water and heating readings directly in the inspection, along with their number.
Yes, you note the keys handed over and the smoke detectors present, and these inventories are carried over automatically in the entry/exit comparison.
When you create the exit inspection, you link it to the matching entry inspection. The app then compares the two, room by room, and highlights the damage found. Without that link, chosen at creation, there is no comparison.
Yes, the comparison applies wear and tear to each item of damage and proposes a compensation amount based on the pricing you have chosen. You can also adjust it before sending the validated report to the parties.
Yes, you can customise the template by adding your logo and adjusting the header, the footer or your closing statement... The report comes out in your own style.
Everywhere: on your iOS and Android phones and tablets for the field, and in your browser at the office.
The app and the reports are available in French, Dutch and English.
Bulk import is not planned for now. You start your new inspections directly in the app, and all your recent history builds up there as you carry out your assignments.

Yes, the report is written, detailed, dated, adversarial and signed by the parties, which makes it admissible proof of the property’s condition.
Yes, both parties sign the same document, on site or remotely, which guarantees the adversarial nature required by Belgian law.
Yes, the report meets the requirements of the Belgian rental inspection, including the Brussels Housing Code and the Walloon decree.
Yes, the parties sign electronically, with each signature time-stamped and tied to the signed document.
Yes, you send a secure link by e-mail: the party views the report and signs it remotely, without installing an app.
Yes, during the legal 30-day period, their remarks are added to the file and included in a dated addendum attached to the report.
Disagreement is settled through discussion: the parties exchange their remarks on the file, the report is adjusted, then everyone signs a version they all agree on.
No, after finalisation, the inspection is locked and the signed report is frozen. This protects the document’s value as proof for all parties.
Yes, your signed reports are archived automatically and stay viewable and downloadable from your account, even years later.

ImmoState focuses on the inspection itself. You can attach the property’s certificates (boiler, electrical, energy performance) to the file as annexes.

Security & data
Processing and the database are hosted in Switzerland (Infomaniak), a country recognised by the EU as offering an adequate level of protection. Files such as photos and PDFs are stored in the European Union.
Yes, all exchanges go through TLS 1.2/1.3 encryption, and on your phone the data is stored encrypted, with the key protected by the Keychain on iOS and the Keystore on Android.
By default, only you access your files. You can invite a collaborator, with read or write access, whenever you need to. Tenants and landlords only get read access, via a secure link, to view and sign.
Once signed, the report is sealed as a frozen document, together with its SHA-256 fingerprint. The slightest change would be immediately detectable.
Yes, at any time. From the settings (Privacy), you start the export in one tap and get an archive with your account data (cases and inspections, comments, activity history, profile) in an open, reusable format, in line with your right to portability (GDPR).
Yes, your data can be deleted on request, once the legal retention period for signed reports has passed.
No, your data is neither sold nor reused for any purpose other than the service you use.
Yes, each file keeps a full history of actions and accesses, with their date and their author.
No, as soon as there is a network, your data is synced to a safe place. You find it again by logging back in from another device.
You remain the data controller towards your clients. ImmoState acts as your technical provider, under your instructions.
